Executive Call for Participation Information Highlights

  • Executive Session submissions are directly related to the Annual Meeting’s theme.
  • A limited number of Executive Session submission will be accepted, and selection is highly competitive.
  • Executive Sessions will be considered for both in-person and virtual programming. Please note that virtual programming will be competitive.
  • The submission portal will open on Monday, January 9, 2023, and will close at 11:59 PM Eastern Time on Wednesday, January 25, 2023.
  • Accept/decline notifications will be sent to submitters during the week of February 20, 2023 (via email).

General Submission Information

Abstracts are eligible for “Executive Session” review and consideration if:

  • They speak directly to the 2023 AAA/CASCA Annual Meeting theme, Transitions.
  • All panel proposals should have a statement about how the panel has incorporated the goals of equity, diversity, and inclusion, and/or analysis of power.
    • We ask that Executive Session submissions explicitly address the diversity of session participants, such as organizational/institutional affiliation, career stage, race, ethnicity, disability, sexuality, class, religion, national identity, and gender. Proposals for Executive Sessions that demonstrated a commitment to equity and inclusion and/or a clear analysis of power (i.e. anti-imperialist, anti-white supremacist, decolonial, anti-ableist, feminist, anti-transphobic, anti-xenophobic, etc) were given priority.

Executive Sessions are reviewed and selected directly by the 2023 Executive Program Committee (EPC). Sessions awarded the “Executive Status” designation will be showcased throughout the Annual Meeting and selection is highly competitive. To conduct the review, the committee will use the following questions:

On a scale of 1 to 5, with 1 being the least favorable and 5 being the most favorable,

  • rate the importance of this submission to current issues of broad concern;
  • rate the relevance of this submission to the overall meeting theme; and
  • rate the quality of the submission overall.

All participants must be AAA or CASCA members and meeting registrants in order to present at the Annual Meeting. Registration and membership are NOT required at the time of proposal submission.

  • If the Executive Session submission is accepted, participants will be notified during the week of February 20, and will need to register for the meeting and join the AAA or CASCA (or both) no later early-September (exact date to be announced this Spring). Failure to register by the deadline will result in forfeiture of participation and removal from the program.
  • If the Executive Session submission is not accepted, participants will be notified the week of February 20, and submitters will have the option to resubmit the submission, as-is or with edits, in the general call for participation. Like the executive call, for the general call for participation, membership and registration are not required for submission. All general call for participation submissions must be completed by Wednesday, March 29, 2023, at 11:59 PM Eastern.

Financial assistance may be available to the following groups:

  • Anthropologists outside of the U.S. or Canada
  • Non-anthropologists
  • Students
  • Individuals experiencing financial hardship

For the 2023 AAA/CASCA Hybrid Annual Meeting, sessions may choose from one of two modalities:

  1. In-person in Toronto
  2. Virtually online

Sessions must submit as they plan to attend. AAA will not be able to change a session’s modality type following its submission. Your choice should reflect the plans of all participants in your group, which means all participants will need to either present in-person or virtually, but not in hybrid format.

Virtual sessions will compose approximately 20-25% of the 2022 AAA Hybrid Annual Meeting program, and therefore will be highly competitive.

There are two submission types for the Executive Call for Participation:

If you are submitting as a group of four to seven people, you may choose any of these formats.

If you wish to submit as an individual, there are no options for individual submissions during the Executive Session period. Please wait until the main call for participation opens on Wednesday, February 2, to view available submission options for individual submitters.

Submission Options for Groups of Two or More

lecture-based panel WITH seven (7), 15-minute timeslots for paper presentations and/or moderated discussion.

Session format: In person, in Seattle OR Virtual – Live

  • Session length: 105 minutes (divided into 15-minute timeslots for paper presentations and/or discussants)
  • # of session participants allowed: 6-12**

Abstracts?

  • Does it allow for individual abstracts? YES. These must be provided by the individuals designated as paper presenters.
  • Length of individual abstracts: 250 word maximum (and a 50 word minimum)
  • Length of overall session abstract: 500 word maximum (and a 50 word minimum)

Role limits:

  • Organizers: 1 (max)
  • Chairs: 1 (min) to 2 (max)
  • Discussants**: 0 (min) to 2 (max)
  • Paper Presenters**: 4 (min) to 7 (max)

**Oral Presentation Session note: There are only seven (7), 15-minute timeslots designated for Oral Presentation sessions. Organizers and chairs do not have timed roles, and therefore do not count toward the timeslot limit. Discussant and paper presenter roles are timed, so you cannot exceed seven (7) total discussants or paper presenters for this session type.

  • Roundtable Presenters: 4 (min) to 7 (max)

Reminders and Updates:

  • Eligibility: All Annual Meeting participants must be paid Annual Meeting registrants AND have active memberships (with AAA or CASCA) through November 13. Registration and membership reminders will be sent to all program participants after the preliminary program is announced in late-summer.
    • Ability to present as a nonmember: Anthropologists outside of the United States or Canada, or non-anthropologists, may request a Non-Member Guest Presenter Rate, but meeting registration is still required. Non-member guest presenter rates must be requested by Wednesday, May 24, 2023.
  • Financial assistance: For financial assistance with registration, please complete the Program Chair Waiver application prior to Wednesday, April 26, 2023. The completion of an application does not guarantee a waiver will be awarded.
  • Elimination of double sessions: The Annual Meeting task force discontinued double sessions in 2014 to standardize the time unit for panels and address scheduling burdens. However, organizers can submit a series of single sessions (i.e. Part I, Part II) that will be individually reviewed and ranked by its merit. Part II may be accepted while Part I may not. The Executive Program Committee (EPC) will make every effort to ensure that accepted in part series are scheduled in proper order, but can’t make guarantees.
  • AAA/CASCA CFP online submission portal: AAA/CASCA are continuing to use an online submissions portal, now powered by our vendor, Attendee Interactive (AI). All sessions and items for consideration of inclusion in the 2023 AAA/CASCA Hybrid Annual Meeting program MUST be submitted through this online portal — no exceptions. For technical assistance, please use the technical assistance tab in the online portal, or contact the AAA Meetings Team.
  • Submission deadlines and time stamps: It is very important that submitters pay attention to all dates and time stamps outlined on this page and throughout the online submission portal. If a time stamp is listed, such as 3 p.m. ET, that is a hard deadline and the online portal will not allow any entries after that time. AAA staff are here to help and are happy to assist within our designated office hours of Monday through Friday between the hours of 9 a.m. and 5 p.m. ET.
